Privacy Statement

ICTS is committed to your right to privacy. Our privacy policy is stated below and is in accordance with the UNSW Privacy Management Plan.

Client Information Collection

Upon joining the University as either a staff member or student, ICTS automatically draws down from the New South Solutions HR or Student systems a subset of your personal information. If you are an authorised visitor or contractor working at the Academy, and you need access to ICTS systems and/or facilities, we collect this from you when you apply.

Client Usage Information

The use of many of the services and facilities provided by ICTS is recorded in accordance with our obligations under the Telecommunications Act. This information and its use, is strictly controlled by the University Privacy Management Plan, the Telecommunications Act and various State or Commonwealth Privacy Legislation.

Whilst ICTS respects your privacy and right to use services as freely as possible, ICTS reserves the right to monitor your activity to ensure that the use of our systems does not breach any conditions of use and/or any State or Commonwealth legislation. ICTS is obliged to co-operate with the law enforcement authorities of the Australian Capital Territory, any States, and the Commonwealth, and on the presentation of a warrant may be required to release your personal information and/or usage records to such authorities.

How Client Information is Used

We use the client information to enable the delivery of IT services to you and to enable you to access various facilities throughout the Academy. Your privacy is strictly maintained at all times and is subject to UNSW Privacy Policy and State and Commonwealth Legislation. We do not inform others of any services provided to you or your usage of them. We do not distribute, sell or trade personal information to unrelated third parties.

Where you draw upon a service that requires payment through our nominated cash handling provider, the provider has access to a very limited subset of your client information to enable the collection of fees on our behalf. The cash handling provider is also bound by our Privacy Policy.

Access to Client Information

Client information held by ICTS is stored in various databases and systems within ICTS. Clients may verify this information by visiting the New South Solution HR or Student system which we use as our source of data.

Access to this data is strictly controlled, and where it is used by ICTS staff in the delivery and maintenance of ICTS to you, your privacy is maintained and respected.

Disclosure of Information - Defence Personnel

UNSW@ADFA can be requested to release information about Defence Personnel or their activities to the Department of Defence in relation to matters under the Defence Force Disciplinary Act. Such requests are treated in the same manner as requests from civilian law enforcement authorities and must be accompanied by formal documentation in accordance with the Act.

About This Privacy Policy

This privacy policy applies to the information that you have provided through the New South Solutions HR or Student Systems, any information which you have provided directly to us and information pertaining to the usage of our systems by you.

When using ICTS facilities to access the Internet, and specifically web sites that are outside the UNSW@ADFA environment, you should note that some sites may collect information about you or your usage. These sites are outside our control and we cannot guarantee the privacy of any information you provide to them. It is recommended that you check the privacy policies of any web site you visit which is seeking information about you.
